Effective date: October 22, 2026. Operator: FC Salmon Creek Soccer Club (“FCSC,” “we,” “us,” or “our”), Vancouver, Washington.
This policy explains how FC Salmon Creek handles personal information through salmoncreeksoccer.com and club-operated online forms, communications, and programs. We serve youth soccer players and families in Washington and Oregon. Our site links to other services that maintain their own privacy notices. For the separate notice about health-related information, see our Consumer Health Data Privacy Policy.
1. Information we collect
Depending on how you interact with us, the club may receive:
- Parent or guardian contact details: name, telephone number, email, correspondence, and registration or inquiry information.
- Player and soccer information: name, team, age group, registration status, program interests, match and event participation, awards, photos or video, and information supplied to coaches about player development.
- Scholarship applications: applicant name and phone, household size, player and team names, annual household income, and the applicant’s written explanation of financial need. These submissions are held in a private WordPress database table and are accessible through an administrator-only dashboard. Please do not submit bank details, Social Security numbers, government IDs, medical documents, or diagnoses in the explanation.
- Club communications and optional subscriptions: information you choose to submit through contact, new-player-interest, registration alert, newsletter, or other club forms, if those functions are enabled.
- Website and device information: standard server logs and technical information such as IP address, browser and device type, page requests, approximate location derived from IP, and cookies. Analytics and third-party embeds may collect additional information if activated.
- Images and recordings: team photographs, approved player highlights, match recordings, and club news submissions. Images and footage may identify players.
The club’s browser-based coaching tools, including the Player Evaluation Builder, generate reports on the coach’s device rather than transmitting form entries to the FCSC WordPress database. A coach may separately save or send an exported PDF; the recipient and coach then control that copy. The Session Planner and Tactics Builder may save drafts in the local browser.
2. Why we use information
We use information to respond to families, administer club programs, manage applications and registrations, assess scholarship requests, contact parents and coaches, coordinate teams and events, improve site security and functionality, publish authorized club news, and meet legal or safety obligations. We limit access to personal details based on the work club personnel need to perform. Scholarship income and financial narratives are not intended for public display.
3. Children and parental involvement
This is a youth sports website, but forms asking for family and player information are intended to be completed by a parent or legal guardian, not independently by a child under 13. If you believe a child submitted personal information without appropriate parental involvement, contact us and we will investigate and address the request. Where the Children’s Online Privacy Protection Act (COPPA) applies, additional notice, parental consent, access, and deletion obligations may apply.
We encourage parents to avoid providing more personal information than is needed. We do not intend to use children’s information for behavioral advertising. Families may request the removal or correction of player names, photos, and footage through the privacy contact below, subject to applicable law and practical limits for material already redistributed by others.
4. Photos, match videos, and publicity
Our website may display youth team photos, alumni achievements, Goal of the Month clips, full match highlights, and tournament news. Before public posting, the club should obtain and document any required permission or media release from parents or guardians and follow league or venue requirements. FCSC will review requests to remove or restrict identifiable content of a player. Removing a file from our site may not remove copies previously downloaded, cached, or published by third parties.
Coaches should avoid publishing sensitive details, including children’s home addresses, personal phone numbers, financial information, health conditions, or detailed individual player evaluations. Public match media and privately shared player evaluations are different categories of information and should be treated differently.
5. Scholarships and sensitive information
Scholarship submissions contain sensitive household financial information. We use them for financial-assistance eligibility decisions, related communication, administration, and appropriate recordkeeping. They are stored on the club’s WordPress hosting infrastructure and are available to authorized site administrators. We do not intentionally publish those applications, use the financial narratives to target advertising, or request payment-card numbers through that form.
If you inadvertently include information about health, disability, or medical conditions, that information may also require separate safeguards. Please use a direct and secure discussion with club leadership rather than uploading medical documents through the scholarship form. See our Consumer Health Data Privacy Policy.
6. When information is shared
Depending on the activity, information may be made available to authorized board members, registrars, team officials, coaches, and vendors working on the club’s behalf, such as website hosting, electronic communications, registration and team-management, approved video hosting, or security providers. We may exchange the limited information required for participation with applicable leagues, tournament organizers, insurers, or governing associations. We may disclose data when legally required or necessary to protect people and club systems.
Links and embedded content from Blue Sombrero/Sports Connect, TeamSnap (where used), Veo, YouTube, Vimeo, Instagram, Facebook, Venmo, and Tursi Soccer may lead to services that process data under their own policies. This list describes services linked, embedded, or contemplated on the site, not a representation that each is active or receives information on every visit. Review the destination’s privacy terms before submitting information to it.
We do not intentionally sell personal information about players or families. If the club adds advertising pixels, targeted advertising, or new vendors, this policy and any legally required consent or opt-out controls must be updated before those practices begin.
7. Cookies, analytics, and third-party embeds
WordPress, the hosting provider, and connected features may use cookies or similar technologies for login, session integrity, security, preferences, or analytics. Analytics tags are optional; the theme can register certain registration-link clicks if Google Analytics is installed, but the theme does not itself create a Google Analytics account. Playing an embedded video or opening a linked social network may allow that provider to receive technical information about your device and interaction. Browser settings can limit some cookies. If applicable law requires cookie consent or a recognized opt-out signal, the club must configure and maintain that control in its active analytics or consent system.
8. How long information is kept
We keep information only for the time reasonably needed for program administration, safeguarding, scholarship decisions, contractual commitments, legitimate recordkeeping, and applicable legal obligations. Retention periods depend on record type and may include secure backups. Parents can ask about or request deletion of information by writing to the club. Where we must retain a record for a legally recognized reason, we will explain that limitation. The club should maintain an internal, approved schedule for scholarship records, registration records, youth media permissions, and incident records.
9. Security
We use role-based WordPress access for private scholarship applications and take reasonable steps to protect data. No website or electronic storage system can guarantee absolute security. The club should use strong administrator authentication, updates, access review, secure backups, vendor controls, and an incident-response procedure. If a qualifying security incident occurs, FCSC will evaluate its duties under Washington and Oregon breach-notification laws and other applicable requirements.
10. Your choices and privacy requests
You can request access, correction, deletion, or information about the use of your or your child’s data, withdraw an optional permission for future use where applicable, or opt out of optional email communications. Please write to president@salmoncreeksoccer.com with “Privacy Request” in the subject line, or use the club’s Contact page. Do not include Social Security numbers, medical records, or other sensitive documents in an initial email. We may need to verify your identity or parental/guardian authority before releasing or changing records.
For Oregon residents, additional rights under the Oregon Consumer Privacy Act may apply if the club meets the law’s applicability thresholds. These may include access, correction, deletion, portability, applicable opt-outs, and appeal rights. For Washington consumer health data, see the separate policy. We will evaluate requests under the law applicable to the information and our operations.
11. Other sites, volunteers, and event organizers
Club registration platforms, scheduling providers, tournament systems, payment processors, third-party stores, and social networks operate independently or under their own contracts. Their notices may differ from ours. Coaches and volunteers who receive personal information for club duties must use it only for those duties and protect it from unnecessary disclosure.
12. Changes and contact
We may update this policy as our services, vendors, or legal obligations change. Material changes will be reflected by the effective date, with additional notice or consent where law requires. For questions or privacy requests contact president@salmoncreeksoccer.com. This policy is part of the club’s privacy practices and is not a substitute for reviewing forms, vendor agreements, permissions, and operational safeguards.
